Key responsibilities:
- Manage emails and client communications efficiently, maintaining professional relationships
- Book jobs, schedule work for engineers, and update daily labour schedules
- Arrange travel, flights, and accommodation for domestic and international projects
- Maintain staff training records and certification matrices ensuring compliance
- Prepare and issue onboarding documents for new starters
- Assist with financial tasks such as checking supplier invoices and preparing payment forms
- Support payroll preparation and maintain accurate financial records
- Maintain and update industry accreditations and support the process of achieving new ones
- Assist with visa, work permit applications, and manage documentation for overseas projects
- Support the preparation of tenders and bids, and carry out general office duties as required
About you:
- Highly organised with the ability to work independently and manage multiple tasks effectively
- Strong attention to detail and accuracy in all aspects of work
- Proactive problem solver with a can-do attitude and initiative
- Experience in office administration, email management, and scheduling systems
- Comfortable working in a fast-paced environment with competing priorities
- Solid IT skills, especially with Microsoft Office and scheduling tools
- Experience with tenders, compliance, or industry accreditations is advantageous but not essential
