Finance Assistant

Key responsibilities:

  • Manage transactional accounting using Xero and linked software such as ApprovalMax, Dext, and Pleo.
  • Set up and maintain supplier accounts, process invoices, payments, and receipts accurately.
  • Reconcile supplier statements and contact suppliers to resolve discrepancies.
  • Maintain and organise accurate financial records and filing systems. 
  • Support fees management, including billing, collection, and reconciliation.
  • Assist with cashflow reporting, budget monitoring, and financial analysis in collaboration with the finance team.
  • Reconcile bank transactions and perform balance sheet reconciliations.
  • Support internal and external audits through accurate record-keeping and compliance.
  • Handle sensitive financial information with confidentiality and adhere to relevant regulations.
  • Provide administrative support to the Head of Finance and Operations.
  • Support the management of supplies and resources, maintaining inventory and processing orders.
  • At times, oversee front office operations, ensuring a welcoming environment for visitors, staff, and pupils.
  • Manage communication via phone and email, addressing inquiries professionally and promptly.
  • Foster positive relationships with multiple stakeholders.

About you: 

  • Proven experience as an accounts or finance assistant, ideally with knowledge of Xero software.
  • GCSEs in Maths and English at grade 5 or higher, with a recognised accounting qualification (AAT) being advantageous.
  • Excellent ICT skills, including Google Workplace.
  • Sound understanding of financial principles and practices in a busy administration environment.
  • Organised, detail-oriented, and able to work effectively under pressure to tight deadlines.
  • Strong interpersonal and communication skills, demonstrating tact and diplomacy.
  • High standards of accuracy and discretion when handling sensitive information.
  • Committed to safeguarding, confidentiality, and promoting an inclusive environment.
  • A genuine interest in supporting the development and wellbeing of young people.
  • Willingness to undertake further professional development and training.
