Operations Coordinator

Key responsibilities:

  • Provide comprehensive administrative support to the rescue team, ensuring accuracy and efficiency in all tasks.
  • Act as a central contact for customer and team enquiries, managing queries from initial contact through to resolution, including logging, tracking, and escalating as necessary.
  • Assist in the preparation of quotations, bids, tenders, and proposals for operational projects.
  • Support onboarding processes for new customers and maintain ongoing management of existing client relationships.
  • Manage and improve internal workflow systems, implementing system enhancements where needed.
  • Compile, update, and communicate relevant documentation promptly to all team members.
  • Develop and distribute feedback surveys to clients and technicians to foster continuous service improvement and staff wellbeing.
  • Maintain daily communication with the wider team, flag potential issues early, and contribute to problem-solving initiatives.
  • Coordinate with various departments including senior leadership, technical teams, and finance to ensure smooth operation.
  • Maintain secure records of technician qualifications and critical documentation.
  • Oversee scheduling and resource allocation, optimising vehicle and equipment usage.
  • Participate in on-call rota, responding to emergency customer requests during designated hours.
  • Support the running of head office operations and adhere to company policies, offering suggestions for improvements.
  • Handle sensitive information confidentially, with adherence to non-disclosure requirements.
  • Contribute to fostering a fair, respectful, and inclusive workplace environment.

About you:

  • Proven experience in an administrative or operations support role.
  • Strong organisational skills with the ability to multitask effectively under pressure.
  • Excellent communication skills, both written and verbal, with a friendly and professional manner.
  • Proficiency in Microsoft Office applications; experience with CRM systems is advantageous.
  • Attention to detail with a proactive approach to identifying and resolving issues.
  • Ability to work collaboratively across various departments and with different teams.
  • Flexible, adaptable attitude to meet changing organisational needs.
