Key responsibilities:
- Ensure the efficient day-to-day operation of the office, managing administrative and operational functions effectively.
- Oversee onboarding processes for new employees, including setting up IT and access requirements.
- Manage incoming and outgoing post, organise meetings, and coordinate internal and external events.
- Maintain accurate financial records, and manage all aspects of bookkeeping using Xero.
- Handle sales invoicing, monitor cash flow, chase outstanding debts, and prepare monthly financial reports.
- Support the operational processes, creating and updating folders, invoices, and tracking spreadsheets.
- Arrange travel plans for staff and management, including international and domestic travel logistics.
- Manage supplier relationships, oversee office facilities, and coordinate repairs and maintenance.
- Act as a primary point of contact for IT support and assist with projects aimed at improving office systems and infrastructure.
- Ensure health & safety compliance, liaise with insurers, and act as First Aider within the premises.
- Coordinate couriers, manage deliveries, and oversee compliance with safety and regulatory standards.
About you:
- Previous experience in an Office Manager, Administrator or similar role ideally within a smaller company environment.
- Proven bookkeeping skills, ideally with solid knowledge of Xero.
- Experience processing payroll is an advantage.
- Invoicing, managing purchase and sales ledgers, and credit control experience.
- Excellent organisational skills with the ability to prioritise effectively across multiple tasks.
- Strong interpersonal and communication skills, confident liaising with a range of stakeholders.
- High attention to detail and accuracy in all financial and administrative tasks.
- Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Self-motivated, proactive, able to work independently, and maintain confidentiality.
