Office Manager / Administrator

 A  lovely well-established organisation is seeking a dedicated Office Manager / Administrator to ensure the seamless operation of their busy office environment. Key responsibilities:

  • Manage reception duties including answering calls, handling correspondence, greeting visitors, and coordinating couriers and deliveries.
  • Provide comprehensive administrative support to senior management, project teams, and engineers, including typing reports, scheduling meetings, and managing travel arrangements.
  • Maintain and update project documentation, CVs, and resource pools.
  • Coordinate office procurement such as stationery, PPE, and project equipment, along with organising team and client events.
  • Oversee office facilities management, including liaising with contractors, monitoring expenditure, and maintaining cleanliness and health & safety standards.
  • Conduct regular safety checks (fire alarms, defibrillators, Legionella), organise maintenance schedules, and act as First Aider/Fire Warden.
  • Ensure meeting rooms and communal areas are well-stocked, tidy, and functional.
  • Support environmentally sustainable practices by managing recycling and waste disposal processes.
  • Assist with organising training sessions, team-building activities, and other company events to foster a positive workplace culture.

About you:

  • Proven experience working in a busy office environment, ideally with facilities management or health & safety knowledge.
  • Highly competent in MS Office Suite (Word, PowerPoint, Excel, Outlook) and Adobe.
  • Excellent communication skills, both written and verbal, with a professional and approachable manner.
  • Strong organisational skills, with the ability to prioritise effectively and work under pressure to meet deadlines.
  • Proactive, detail-oriented, and able to work independently or as part of a team.
  • Discreet and able to handle sensitive information with tact and confidentiality.
  • Flexible attitude, with a problem-solving approach and a commitment to providing excellent customer service.

What’s on offer:
