Temp to Perm Office Manager / Administrator

Key responsibilities:

  • Managing reception duties including answering calls, greeting visitors, handling correspondence, and managing courier and postal services.
  • Providing comprehensive secretarial support to senior management, project teams, and engineers, such as report typing, meeting scheduling, minute-taking, and travel arrangements.
  • Updating and maintaining employee records, CV database, and resource pools.
  • Supporting project documentation, ordering supplies, organising logistics and equipment for site delivery.
  • Coordinating internal and external training sessions, including liaising with providers and staff.
  • Planning and supporting company and charity events, including team-building activities and festive parties.
  • Managing office facilities—booking contractors, overseeing maintenance, ensuring health and safety compliance, and monitoring expenses.
  • Ensuring the cleanliness, organisation, and proper stock levels in meeting rooms and communal areas, including kitchen facilities.
  • Conducting regular safety checks such as fire alarms and legionella testing, and maintaining records for health & safety compliance.
  • Supporting general office administration, including ordering stationery, PPE, and consumables, and managing waste disposal arrangements.

About you:

  • Proven experience in an office management or administrative role within a busy environment.
  • Strong skills in MS Word, Excel, PowerPoint, Outlook, and Adobe; confident in managing correspondence and reports.
  • Excellent communication, customer service, and relationship-building abilities, both written and verbal.
  • Highly organised with the ability to prioritise and manage multiple tasks efficiently under pressure.
  • Proactive, resourceful, and able to work independently as well as part of a team.
  • Demonstrates discretion, tact, and confidentiality in handling sensitive information.
  • Knowledge of facilities management and health & safety procedures is advantageous.
