A reputable school near Guildford is looking for an Administrator to support the smooth running of the busy music department with all the activities and administration. Key responsibilities:
- Typing and managing general correspondence relating to the Music Department.
- Handling receipt, acknowledgement, and distribution of lesson discontinuation letters and lists.
- Processing information regarding Scholarships and Music Awards.
- Liaising with Visiting Music Teachers (VMT); posting advertisements, managing references, and coordinating interview arrangements.
- Attending departmental meetings, taking minutes, and distributing afterwards.
- Coordinating with the Business Centre on administrative needs.
- Ordering, receiving, and issuing music resources as requested by staff, including invoice reconciliation and chasing outstanding orders.
- Managing the allocation and details of school instruments, liaising with the Music Department and Business Centre for tracking.
- Processing Absence Sheets for music staff and students.
- Issuing House Points following concerts and events in collaboration with the Director of Music.
- Supporting administration for choir tours and other events, including travel arrangements and logistics.
- Assisting with the preparation, checking, and distribution of concert programmes.
- Updating catalogues for sheet music, instruments, prospectuses, hardware, tour companies, and educational materials.
About you:
- Previous administrative experience, ideally within an educational or musical environment.
- Strong typing and organisational skills, with an excellent eye for detail.
- Good communication skills, both written and verbal, with the ability to liaise professionally with staff and external partners.
- Ability to prioritise tasks effectively and work to deadlines.
- Proficient in Microsoft Office and confident in managing various data entry systems.
- Friendly, approachable, and proactive approach to work.
- Discretion and confidentiality in handling sensitive information.
